These Terms & Conditions govern all bookings made with Rumi Residence. By paying a deposit or making any payment towards a retreat, you confirm that you have read, understood and agreed to these Terms & Conditions.

1. ABOUT THESE TERMS

These Booking Terms & Conditions (“Terms”) govern all bookings made with Rumi Residence Ltd (“Rumi Residence”, “we”, “our” or “us”).

By paying a booking deposit, completing a booking form or making any payment towards a Rumi Residence experience, you confirm that you have read, understood and agreed to these Terms in full.

These Terms form the legal agreement between Rumi Residence and the guest.

Guests should read these Terms carefully before making a booking.

If you do not agree with these Terms, you should not book a Rumi Residence experience.


2. DEFINITIONS

For the purpose of these Terms:

Booking means any confirmed reservation for a Rumi Residence experience.

Guest means any individual travelling with Rumi Residence.

Experience means the complete retreat, itinerary and associated services purchased from Rumi Residence.

Supplier means any third-party provider used by Rumi Residence including hotels, restaurants, transport providers, activity operators, guides, wellness instructors and venues.

Minor Change means a reasonable operational amendment that does not materially alter the overall experience.

Examples include:

  • changing restaurants
  • changing activity order
  • alternative transport
  • substitute accommodation of similar standard
  • revised timings

Major Change means a significant change substantially affecting the core nature of the booked experience.


3. ABOUT RUMI RESIDENCE

Rumi Residence curates boutique small-group travel experiences designed to bring together like-minded women through culture, wellness, food and meaningful connection.

Experiences are intentionally intimate and are hosted by Rumi Residence.

Bookings are sold as a complete curated experience and not as individual travel services.


4. BOOKING ELIGIBILITY

Guests must:

  • be at least 18 years old unless otherwise agreed in writing;
  • provide accurate booking information;
  • hold valid travel documentation;
  • be medically fit to travel;
  • comply with all applicable laws and local regulations during the experience.

Rumi Residence reserves the right to decline or cancel a booking where reasonable to do so, including where a guest’s participation could compromise the safety, wellbeing or enjoyment of the group.


5. BOOKING CONFIRMATION

A booking becomes confirmed only when:

  • the required deposit has been received;
  • the booking form has been completed;
  • written confirmation has been issued by Rumi Residence.

Until confirmation has been issued, availability cannot be guaranteed.

Bookings are accepted on a first-come, first-served basis.


6. PAYMENTS

The deposit amount will be specified for each individual experience.

Deposits are non-refundable except where required by law.

Remaining instalments must be paid by the dates specified in your booking confirmation.

Failure to pay an instalment within seven (7) days of its due date may result in cancellation of the booking.

Rumi Residence reserves the right to:

  • cancel unpaid bookings;
  • retain deposits;
  • offer the place to another guest.

Guests remain responsible for any outstanding amounts due under these Terms.


7. PRICING

Prices include only the items specifically listed within the experience description.

Prices are based on anticipated operating costs at the time of publication.

Where exceptional circumstances outside our reasonable control significantly increase operational costs before departure, Rumi Residence reserves the right to adjust the price in accordance with applicable consumer law, providing notice and any rights required by law.


9. WHAT IS NOT INCLUDED

Unless expressly stated within the published itinerary, the following are not included within the price of any Rumi Residence Experience:

  • International or domestic flights
  • Airport transfers not specifically listed
  • Passport application or renewal fees
  • Visa costs
  • Vaccinations
  • Travel insurance
  • Personal spending money
  • Souvenirs and shopping
  • Laundry services
  • Spa treatments not specifically included
  • Alcoholic beverages
  • Meals not specifically listed as included
  • Room service
  • Telephone charges
  • Mini bar purchases
  • Gratuities or tips
  • Local tourist taxes unless expressly stated
  • Optional excursions
  • Personal medical expenses
  • Medication
  • Baggage fees
  • Costs arising from delayed or cancelled flights
  • Costs resulting from missed departures
  • Any item not specifically confirmed as included.

Guests acknowledge that the published itinerary clearly distinguishes between included and excluded services.

No assumptions should be made regarding inclusion of any service not expressly stated.


9.1 Optional Experiences

From time to time Rumi Residence may recommend optional experiences, restaurants or activities.

Participation in optional experiences is entirely voluntary.

Rumi Residence accepts no responsibility for pricing changes, availability or cancellation of optional experiences operated by third parties.


9.2 Personal Expenses

Guests remain solely responsible for all personal expenditure incurred during the Experience including but not limited to:

  • shopping
  • taxis taken independently
  • additional meals
  • snacks
  • alcoholic beverages
  • entertainment
  • personal upgrades
  • medical treatment
  • additional accommodation required due to personal circumstances.

10. ACCOMMODATION

Rumi Residence carefully selects accommodation that aligns with the style and quality of each Experience.

Accommodation descriptions, photographs and marketing materials are intended to represent the general standard of accommodation rather than guarantee any particular room.

Individual rooms may differ in:

  • size
  • layout
  • décor
  • furnishings
  • view
  • floor level
  • outdoor space
  • orientation

without constituting a material change to the Experience.


10.1 Shared Accommodation

Where shared accommodation has been selected, guests acknowledge that they will share a room with another guest unless:

  • travelling with a companion; or
  • a solo room supplement has been purchased and confirmed.

While every effort will be made to accommodate rooming preferences, Rumi Residence cannot guarantee compatibility between roommates.


10.2 Solo Rooms

Solo room upgrades are subject to availability.

Once confirmed, solo supplements are non-refundable except where required by law.


10.3 Accommodation Changes

Where circumstances outside the reasonable control of Rumi Residence require a change of accommodation, we reserve the right to substitute accommodation with another property of comparable quality and standard.

Such substitutions shall not constitute a breach of contract provided the overall Experience is substantially maintained.


10.4 Damage

Guests are responsible for any loss or damage caused by themselves to accommodation or property during the Experience.

Rumi Residence reserves the right to recover reasonable repair or replacement costs where appropriate.


11. ITINERARY & OPERATIONAL FLEXIBILITY

Every Rumi Residence Experience is curated individually.

While we endeavour to deliver each itinerary substantially as advertised, travel is inherently dynamic.

Guests acknowledge that flexibility is an essential part of international travel.


11.1 Minor Changes

Rumi Residence reserves the right to make reasonable operational changes where necessary.

Examples include:

  • restaurant substitutions
  • revised activity timings
  • alternative transport providers
  • amended meeting points
  • modified activity order
  • alternative instructors
  • substitute guides
  • similar wellness experiences
  • comparable accommodation.

Minor changes shall not entitle guests to compensation or refunds.


11.2 Operational Decisions

Throughout the Experience, Rumi Residence may make operational decisions in the interests of:

  • guest safety
  • weather conditions
  • supplier availability
  • local regulations
  • transport logistics
  • group welfare
  • operational efficiency.

Such decisions shall be final.


11.3 Equivalent Substitutions

Where an advertised supplier becomes unavailable, Rumi Residence reserves the right to replace that supplier with another of comparable quality.

Examples include:

  • restaurants
  • hotels
  • vineyards
  • wellness studios
  • activity providers
  • transportation companies.

11.4 Weather

Many Experiences involve outdoor activities.

Weather conditions may require activities to be:

  • postponed
  • shortened
  • substituted
  • cancelled.

Weather-related alterations shall not constitute a breach of these Terms.


11.5 Substantial Performance

Guests acknowledge that Rumi Residence Experiences are sold as complete curated travel experiences.

Individual components of the itinerary do not represent separately purchased products or services.

Provided that the Experience has been substantially delivered, isolated alterations, substitutions, omissions or disruptions affecting individual activities shall not constitute a failure to perform the contract.


11.6 No Separate Valuation

Guests acknowledge that no individual activity, reservation, meal, transfer, accommodation night or excursion possesses an independent refundable monetary value.

The Experience is purchased as one integrated package.


12. TRAVEL DOCUMENTATION

Guests are solely responsible for ensuring they possess all documentation required to travel.

This includes but is not limited to:

  • passports
  • visas
  • transit visas
  • vaccination certificates
  • health documentation
  • customs declarations
  • immigration requirements.

Failure to obtain the necessary documentation shall not entitle the guest to any refund.


12.1 Passport Validity

Guests are responsible for ensuring that their passport satisfies the entry requirements of every destination visited.

Rumi Residence accepts no responsibility for denied boarding or refused entry arising from insufficient passport validity or documentation.


12.2 Arrival

Guests are responsible for arriving at the designated meeting point at the published time.

Missed flights, delayed arrivals or missed transfers resulting from personal circumstances remain the responsibility of the guest.

Where reasonably possible, Rumi Residence may assist with alternative arrangements, however any associated costs shall be borne by the guest.


13. TRAVEL INSURANCE

Comprehensive travel insurance is strongly recommended and may be mandatory where specified for a particular Experience.

Insurance should provide appropriate cover for:

  • medical treatment
  • emergency assistance
  • repatriation
  • cancellation
  • curtailment
  • personal belongings
  • travel disruption
  • personal liability.

Guests acknowledge that Rumi Residence does not provide travel insurance.


13.1 Failure to Obtain Insurance

Where insurance is stated as mandatory for a particular Experience, failure to obtain suitable cover may result in refusal to participate.

No refund shall be payable where participation is refused due to failure to comply with mandatory insurance requirements.


14. GUEST RESPONSIBILITIES

Guests agree to conduct themselves in a manner that contributes positively to the Experience.

Guests shall:

  • comply with local laws;
  • respect local customs and cultures;
  • behave courteously toward suppliers, staff and fellow guests;
  • follow reasonable instructions issued by the Rumi Residence host;
  • arrive punctually for scheduled activities;
  • respect accommodation and property;
  • disclose relevant medical information honestly;
  • travel with appropriate clothing and equipment;
  • act responsibly at all times.

Guests acknowledge that they are participating within a small-group environment.

Reasonable flexibility, cooperation and mutual respect are fundamental expectations of every Rumi Residence Experience.

Personal differences, varying travel preferences or subjective dissatisfaction with group dynamics shall not, in themselves, constitute grounds for cancellation, compensation or refund.

15. HEALTH & MEDICAL REQUIREMENTS

The safety and wellbeing of all guests is a priority for Rumi Residence. Guests are responsible for ensuring they are medically fit to participate in the Experience and any included activities.

Participation in all activities is voluntary.

Guests acknowledge that some Experiences may involve:

  • walking on uneven terrain;
  • hiking;
  • swimming;
  • boat travel;
  • wellness or fitness classes;
  • thermal spas;
  • outdoor activities;
  • long travel days;
  • varying weather conditions;
  • stairs and properties without lifts.

Guests are responsible for assessing whether they can safely participate.


15.1 Medical Declaration

Prior to departure, guests may be required to complete a Medical & Fitness Declaration.

Guests agree to disclose any medical condition, allergy, dietary requirement or accessibility need that may reasonably affect their participation or require assistance during the Experience.

Failure to disclose relevant information may limit Rumi Residence’s ability to provide appropriate support.


15.2 Medication

Guests remain solely responsible for:

  • bringing sufficient medication;
  • carrying medication in accordance with airline requirements;
  • complying with local laws regarding prescription medication;
  • arranging replacement medication if required.

While Rumi Residence carries a first aid kit, containing most standard OTC medication, RR cannot administer said medication or provide medical advice.


15.3 Allergies & Dietary Requirements

Guests should notify Rumi Residence of any allergies or dietary requirements before travel.

Whilst every reasonable effort will be made to communicate dietary requirements to suppliers, Rumi Residence cannot guarantee that meals will be free from allergens due to the practices of independent food providers.

Guests with severe allergies remain responsible for managing their condition and carrying any necessary emergency medication.


15.4 Medical Treatment

If a guest requires medical treatment during the Experience, Rumi Residence may assist in arranging access to local healthcare where reasonably practicable.

Any costs associated with treatment, transportation, medication or accommodation resulting from illness or injury remain the responsibility of the guest unless otherwise required by law.


15.5 Pregnancy

Guests who are pregnant should consult a qualified medical professional before booking and before travel.

Some activities may not be suitable during pregnancy.


15.6 Fitness to Continue

If a guest becomes unable to safely continue participating in the Experience due to illness, injury or medical advice, Rumi Residence may reasonably require that the guest withdraw from certain activities for their own safety or the safety of others.

Where appropriate, assistance will be provided in arranging alternative accommodation or transport, however any associated costs remain the responsibility of the guest.


16. GROUP TRAVEL EXPECTATIONS

Rumi Residence Experiences are intentionally designed as boutique hosted group travel experiences.

Guests acknowledge that they are booking participation in a shared group experience rather than a private bespoke holiday.

Successful participation requires flexibility, cooperation and mutual respect.


16.1 Community

Guests agree to contribute positively to the group atmosphere by:

  • treating others respectfully;
  • communicating courteously;
  • remaining considerate of differing personalities and travel styles;
  • respecting personal boundaries;
  • supporting an inclusive environment.

16.2 Flexibility

Travel occasionally requires flexibility.

Guests acknowledge that schedules, restaurants, transport and activities may change due to operational circumstances.

Reasonable flexibility is considered an inherent part of the Experience.


16.3 Group Decisions

Where circumstances require decisions to be made during the Experience, Rumi Residence may, where appropriate, consider the preferences of the group as a whole.

Decisions made in the interests of safety, practicality or the majority of guests shall not constitute a breach of contract.


16.4 Subjective Enjoyment

Personal enjoyment is inherently subjective.

The following shall not, by themselves, constitute grounds for compensation or refund:

  • personal preferences;
  • compatibility with other guests;
  • individual expectations;
  • weather conditions;
  • restaurant preferences;
  • food preferences;
  • differing travel styles;
  • personal disagreements;
  • personal disappointment where the Experience has otherwise been substantially delivered.

17. GUEST CONDUCT

Guests are expected to behave respectfully throughout the Experience.

Rumi Residence reserves the right to take reasonable action where a guest’s behaviour compromises the safety, wellbeing or enjoyment of others.


17.1 Unacceptable Behaviour

Examples include, but are not limited to:

  • harassment;
  • bullying;
  • discrimination;
  • abusive language;
  • threatening behaviour;
  • physical violence;
  • illegal drug use;
  • excessive intoxication resulting in disruption;
  • reckless behaviour;
  • intentional damage to property;
  • theft;
  • repeated refusal to follow reasonable safety instructions;
  • conduct that places other guests at risk.

17.2 Respect for Suppliers

Guests must treat hotels, restaurants, guides, drivers and activity providers with courtesy and respect.

Any disputes with suppliers should be raised through the Rumi Residence host wherever reasonably possible.


17.3 Damage

Guests remain responsible for any damage caused through their own actions.

Any repair or replacement costs reasonably incurred may be recovered from the guest.


17.4 Removal from the Experience

Where a guest’s conduct presents a genuine risk to safety, significantly disrupts the Experience, or seriously affects the wellbeing of others, Rumi Residence reserves the right to remove that guest from the Experience.

Where removal is reasonably necessary, the guest shall remain responsible for any additional accommodation, transportation or repatriation costs incurred as a result.

Removal from the Experience will not normally entitle the guest to a refund, except where required by applicable law.


18. CANCELLATION BY THE GUEST

Guest cancellations are governed by the separate Rumi Residence Cancellation & Refund Policy, which forms part of these Terms.

By booking, guests acknowledge that:

  • deposits may be non-refundable as set out in the Cancellation & Refund Policy;
  • cancellation charges may apply depending on the date of cancellation;
  • refunds may depend on whether recoverable costs can be avoided;
  • any permitted booking transfers are subject to approval by Rumi Residence.

Guests are encouraged to purchase travel insurance that includes cancellation cover.


18.1 Failure to Attend

If a guest fails to attend the Experience, arrives after the Experience has commenced, or voluntarily leaves before its conclusion, any entitlement to a refund will be determined in accordance with the Cancellation & Refund Policy and applicable law.

Unused portions of the Experience are generally non-refundable unless required by law.


19. CANCELLATION OR CHANGES BY RUMI RESIDENCE

Rumi Residence reserves the right to cancel or materially amend an Experience where reasonably necessary.

Examples include:

  • insufficient guest numbers;
  • safety concerns;
  • government travel restrictions;
  • natural disasters;
  • supplier insolvency;
  • civil unrest;
  • other circumstances beyond our reasonable control.

Where a significant change or cancellation occurs, guests will be informed as soon as reasonably practicable.

Any refund or alternative arrangements offered will be provided in accordance with applicable law and the specific circumstances of the cancellation.


19.1 Minimum Group Size

Some Experiences require a minimum number of confirmed guests in order to operate.

If the required minimum is not met, Rumi Residence reserves the right to cancel the Experience before departure.

Where this occurs, guests will be offered the remedies required under the booking terms and applicable law.


19.2 Supplier Changes

Independent suppliers may occasionally alter or cancel services.

Where this occurs, Rumi Residence will make reasonable efforts to provide a comparable alternative where practicable.


20. FORCE MAJEURE

Neither party shall be liable for failure to perform obligations where performance is prevented or materially affected by extraordinary events beyond their reasonable control.

Such events may include:

  • natural disasters;
  • severe weather;
  • wildfires;
  • flooding;
  • earthquakes;
  • volcanic activity;
  • epidemics or pandemics;
  • acts of terrorism;
  • war or civil unrest;
  • government restrictions;
  • border closures;
  • strikes;
  • transport disruption;
  • utility failures;
  • other extraordinary and unavoidable circumstances.

Where such circumstances arise, Rumi Residence will use reasonable efforts to minimise disruption, communicate with guests promptly and, where practicable, offer suitable alternatives.

Nothing in this clause limits any rights that guests may have under applicable consumer protection legislation.

21. THIRD-PARTY SUPPLIERS

Rumi Residence curates and organises Experiences using carefully selected independent suppliers.

These suppliers may include, but are not limited to:

  • hotels and accommodation providers;
  • restaurants;
  • transport operators;
  • airlines (where applicable);
  • ferry operators;
  • boat charter companies;
  • activity providers;
  • wellness instructors;
  • guides;
  • photographers;
  • drivers;
  • venues.

Whilst Rumi Residence exercises reasonable care when selecting suppliers, each supplier operates independently.


21.1 Independent Services

Independent suppliers remain responsible for the delivery of their own services.

Rumi Residence is not responsible for matters arising solely from the independent operation of third-party suppliers where those matters are outside our reasonable control.

Where issues arise, Rumi Residence will make reasonable efforts to assist guests in resolving them and, where appropriate, seek suitable alternative arrangements.


21.2 Supplier Changes

Hotels, restaurants, transport providers and activity operators may occasionally change their services, schedules or availability.

Where reasonably necessary, Rumi Residence reserves the right to substitute suppliers with comparable alternatives.

Such substitutions shall not constitute a breach of these Terms provided the experience remains substantially delivered.


21.3 Local Standards

Guests acknowledge that accommodation, transport, food service and facilities may differ from those in their home country.

Reasonable differences in local customs, standards and operating practices shall not in themselves constitute a failure to perform the contract.


22. PHOTOGRAPHY & MARKETING

Rumi Residence may capture photographs and video content during Experiences for marketing, promotional and editorial purposes.

Guests may occasionally appear incidentally in such content.

A separate Photography & Media Consent Policy forms part of the booking documentation and sets out how images and recordings may be used, as well as the process for opting out where appropriate.


22.1 Guest Content

Guests remain the owners of photographs and videos they personally create during the Experience.

By voluntarily tagging or sharing content with Rumi Residence, guests grant Rumi Residence a non-exclusive, royalty-free licence to repost or share that content for promotional purposes, unless the guest subsequently requests that it be removed.


22.2 Respect for Privacy

Guests are expected to respect the privacy of fellow travellers.

Images or recordings that could reasonably be expected to cause embarrassment, distress or invade another guest’s privacy should not be published without that person’s consent.


23. COMPLAINTS & DISPUTE RESOLUTION

Rumi Residence is committed to providing a high standard of service and encourages guests to raise concerns promptly so they can be addressed where reasonably possible.


23.1 During the Experience

Guests who believe an issue has arisen should notify the Rumi Residence host as soon as reasonably practicable.

This allows the opportunity for the matter to be investigated and, where appropriate, resolved during the Experience.

Failure to raise concerns during the Experience may affect our ability to investigate or remedy the issue later.


23.2 After the Experience

If a guest remains dissatisfied after the Experience has concluded, they may submit a written complaint to Rumi Residence.

The complaint should include:

  • booking reference;
  • dates of travel;
  • a clear description of the issue;
  • any supporting photographs or documentation;
  • the outcome sought.

Complaints should normally be submitted within 28 days of the final day of the Experience.

Rumi Residence aims to acknowledge complaints within 7 days and provide a substantive response within 28 days, although more complex matters may require additional time.


23.3 Goodwill

From time to time, Rumi Residence may choose to offer a goodwill gesture to resolve a complaint.

Any goodwill payment, credit or other gesture is made entirely at Rumi Residence’s discretion and does not constitute an admission of liability or create a precedent for future claims.


23.4 Alternative Dispute Resolution

Where appropriate, Rumi Residence may agree to participate in an independent alternative dispute resolution process.

Nothing in these Terms prevents either party from exercising any legal rights available to them.


24. LIABILITY

Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited under the law of England and Wales.

Subject to the above, Rumi Residence shall perform the contract with reasonable care and skill.


24.1 Personal Property

Guests remain responsible for their own personal belongings throughout the Experience.

Rumi Residence accepts no responsibility for loss, theft or damage to personal property unless such liability arises under applicable law.

Guests are encouraged to ensure that valuable items are adequately insured.


24.2 Personal Injury & Illness

Guests participate in activities voluntarily.

Where an activity is operated by an independent supplier, that supplier remains responsible for the safe delivery of its own services.

Nothing in these Terms excludes liability for death or personal injury caused by negligence where such liability cannot legally be excluded.


24.3 Delays

Rumi Residence shall not be responsible for losses arising solely from:

  • flight delays;
  • missed connections;
  • airline schedule changes;
  • border delays;
  • immigration decisions;
  • customs delays;
  • baggage delays;
  • traffic congestion;
  • transport disruption beyond our reasonable control.

Where reasonably possible, Rumi Residence will assist guests in making alternative arrangements.


24.4 Indirect Loss

To the extent permitted by law, Rumi Residence shall not be liable for indirect or consequential losses such as:

  • loss of enjoyment extending beyond the Experience;
  • loss of earnings;
  • business interruption;
  • reputational loss;
  • missed business opportunities.

24.5 Maximum Liability

Where Rumi Residence is legally liable to a guest, any limitation of liability shall apply only to the extent permitted by applicable law.

Nothing in these Terms seeks to restrict any statutory rights available to consumers.


25. GOVERNING LAW

These Booking Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

Subject to any mandatory consumer rights relating to jurisdiction, any dispute arising from or connected with these Terms shall be subject to the jurisdiction of the courts of England and Wales.


26. ENTIRE AGREEMENT

These Booking Terms & Conditions, together with the following documents, form the complete agreement between the guest and Rumi Residence:

  • Booking Confirmation;
  • Experience Itinerary;
  • Cancellation & Refund Policy;
  • Code of Conduct;
  • Medical & Fitness Declaration;
  • Liability & Assumption of Risk Waiver;
  • Photography & Media Consent;
  • Privacy Policy;
  • Website Terms of Use; and
  • any additional written booking documentation provided for the relevant Experience.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

No waiver of any provision shall be effective unless made in writing by Rumi Residence.

Rumi Residence may update these Terms from time to time. The version provided at the time of booking will apply to that booking unless changes are required by law or agreed with the guest.


FINAL ACKNOWLEDGEMENT

By paying a booking deposit, completing the booking form or making any payment towards a Rumi Residence Experience, the guest confirms that they have:

  • read these Booking Terms & Conditions;
  • understood their contents;
  • had the opportunity to ask questions before booking;
  • accepted these Terms in full;
  • accepted the accompanying booking documents forming part of the agreement.
